Overview of the Registration Process
Step by step
The registration process consists of four (4) easy steps. IF YOU HAVE SLOW INTERNET CONNECTION, PLEASE EMAIL US SO WE CAN HELP YOU REGISTER: loc(at)atbc-scbafrica2011(dot)org
Step 1. Create an account [NOW REOPENED].This will require you to create a username and password. A message will be sent to the email address you have provided prompting you to activate your account. After activating your account, you will be able to go through Steps 2, 3, and 4 below.
Step 2. Provide registration data, finalise & submit your registration. Note: You must be logged in to have access to the registration form. You will be able to login to the site multiple times to add and edit your data. Make sure that you enter information in all fields. Once your form is submitted, you will no longer be able to edit your data. If you are submitting an abstract the deadline to finalise and submit your registration data online is the 20th of March 2011. Otherwise, it is the 15th of May 2011. If you are NOT submitting an abstract, submit your registration by 30th May 2011.
Step 3. Make payments. We offer secure online payment by credit card and bank transfers. If you are submitting an abstract, the last day to complete online payments is 15 May 2011. If you are NOT submitting an abstract, you must pay your registration fees by 30 May 2011. NOTE: after 15 May, LATE registration fees apply.
Please note:
In the interest of keeping registration fees similar to previous years, we are using a simple (and cost-free) software for processing online registration. In partnership with SCB, we have been able to avoid extra surcharges on credit card payments. The implication of this is that YOUR REGISTRATION AND ONLINE PAYMENT EXPERIENCE WILL NOT BE FULLY AUTOMATED. For example, you need to manually enter registration fee amounts into fields; they will not appear automatically. Please be attentive to ensure that you enter correct amounts in the required fields. We appreciate your honesty, patience and understanding.
Registration fees
The registration fees are structured based on the income level of your 'salary country', your ATBC/SCB membership, your student status, and timing of payment.The fee includes: conference materials, receptions, lunches from 13 - 16 of June, tea breaks and the award/farewell ceremony.
· Salary country refers to the country from which your salary (wage) is paid (or from which the majority of your income arises). It does not necessarily refer to your country of citizenship, or country of residence. For example, a researcher affiliated and paid by a US university, but living in Tanzania pays a high income country fee; a Tanzanian living in the US and working for an international NGO also pays a high income country fee. Employees of international organizations (e.g CGIAR, CIFOR, etc) paid at international rates (as opposed to local rates), and international consultants are requested to register in the high income country class. Country groups follow the World Bank classification.
· Student status: Only active students enrolled in an accredited program (undergraduate, graduate, diploma) may be considered as students. You will need to show proof of your student status when collecting your registration materials in Arusha. Please bring an ID card or other document indicating your student status.
· ATBC/SCB membership means paid membership in ATBC or SCB at the time of the meeting. Note: Free student registration for online access to Biotropica is not considered membership. Join ATBC or join SCB today to take advantage of lower registration rates and much more!

Carbon fee
A mandatory fee will be added to all registration payments to help offset the carbon costs of this meeting.
This fee will be $20 for participants residing outside Tanzania and $5 for Tanzania-based participants. The funds accumulated will be contributed to local conservation projects that have a positive impact on reducing emissions from forest loss, or to native species forest restoration projects. As soon as a project(s) has been identified, we will feature it on the meeting website.
Spouse or Accompanying person
A spouse or other accompanying person may participate in all social events. Complete an Accompanying Person(s) Registration Form for each person that will accompany you.
For a cost of $80 per each accompanying person you can bring along one or more guests with you to all social events (e.g. welcome mixer, evening slide shows, closing banquet). The accompanying person will not be registered to attend meeting events during the day. For those accompanying you to Arusha, extra tours and events will be offered during the day by our Event Organiser. A program will soon be made available.
Accommodation and Hotel bookings
We have secured many rooms at greatly discounted rates for hotels close to the meeting venue (5 to 20 min. walk). Complete an Accommodation Booking Form.
To take advantage of the discounted rates participating hotels, you must pay the full hotel cost for one day at the time of registration. For example, to secure the booking of a standard single room at Mt. Meru Hotel you will must provide a down-payment of $115.00, equivalent to the daily rate for the hotel.
In case your first choice for accommodation is sold out we will contact you to ask for a second choice. If your are allocated your second choice and it is cheaper than the first, only the price of that choice will be charged. For any overpayment at time of registration you will be refunded at the meeting.
If you would like to occupy a double or triple room but do not yet have a roommate, we can help you find suitable people. While registering online, please indicate if you would like us to help you organise a roommate. You will be contacted for additional information. At payment, you will be required to provide a deposit for one night equivalent to only your contribution to the cost of the room.
Please note: June is the beginning of peak season in Arusha and hotels will fill up several months before. Please book a room early (i.e. by March) or else you may have to stay a long way from the conference centre!
Field trips
The fieldtrips will allow you to experience Tanzania's biological wonders uniquely, with biology and conservation experts in the field. Complete the Fieldtrip Booking Form
We are still adding fieldtrips to our list of choices and the price of some trips is still subject to change. Visit the fieldtrips site to find out more about what is available. Most fieldtrips have a cap on the number of participants that can attend and we will take people on a first-come-first-served basis. To reserve a spot you must make a down-payment (deposit) during online registration. You will be asked to pay a deposit of $25 for one day trips, $50 for 2 to 5 days trips, and $100 for >5 days trips.
To secure your participation you have to complete payment of full fieldtrip costs by 15 May.
Fieldtrip organisers will contact you with more specific information about their program. In the event that the trip has to be canceled, you will be notified immediately and your deposit will be fully refunded at the meeting.
Childcare
We plan to offer safe and fun childcare services during meeting dates for children of all ages.
Childcare services will be handled by the Events Organiser: eo(at)atbc-scbafrica2011(dot)org. When you register, please indicate whether you will need this service and information will be sent to you. No deposit fee will be charged during online registration, but childcare services will incur additional fees not included in the cost of registration.
