Oral presentations:

 

Duration of your talk:

  • Oral presentations are allotted a 15 minute time slot. This includes 3 minutes for question, answers and changeover to the next presentation. Presentations will be interrupted at the 14th minute if there is indication that the presenter will not terminate on time. We recommend that you plan your presentation to be 12 minutes long.
  • All presentation rooms will be equipped with projectors, screens, and microphones. You will NOT be able to use your own laptop.
  • Name your presentation file in the following format ONLY: DATE OF PRESENTATION_ROOM NUMBER_LAST NAME. For example, 13June_Room1_BAKARI
  • All presentations must be submitted to the presentation upload desk ONE (1) day before the day you have been scheduled to present. Presenters presenting on Monday 13 June should email their presentations as a PDF document to: presentation@atbc-scbafrica2011.org

 

Presentation formats accepted:

We will accept presentations in the following format:

  • PDF (preferred and safest)
  • Open Document Format (e.g., OpenOffice.org Impress files; .odp)
  • Microsoft Powerpoint (Office 97/2000/XP binary version, .ppt; or .pptx XML
    version in Office 2007 for Windows, 2008 for Mac)

Apple's Keynote will not be supported. 

All files will be converted to PDF format. This means that all animations made in power point will be lost. DO NOT use animations in your presentation (i.e. special effects text and images, short videos, etc).

NB: Remember to save your presentation in several places (e.g., email inbox, USB stick, drop-box, etc.) so that in the case that it gets 'lost', you will be able to recover your file.

 If this is the first time you will be giving an oral presentation at a scientific meeting, we strongly recommend that you read this advise on how to prepare an oral presentation.

Poster presentations:

 

Poster Dimensions:

  • Posters must be A0 size: 841 mm wide X 1189 mm high (33.1 in X 46.8 in)
  • Posters must be oriented Portrait layout (i.e. width shorter than height). The available stands will not be able to handle landscape layout.


Poster set-up:

  • The official Poster Session will be on 14:15 to 16:15 on Thursday 16 June
  • Posters can be pinned up at their designated spots at 10:00 AM on Tuesday, 14 June
  • Each poster will be assigned a unique number that matches with a designated spot in the poster exhibition area. Please pin your poster ONLY in the space it has been allocated.
  • All posters must be removed by 19:00 on Thursday. We will not assume any liability for lost or damaged posters that have to be removed by conference staff.
  • Push pins will be provided for you to pin your poster up.

 

Guidelines for developing an effective poster for scientific meetings

For your benefit, we have provided the following information to assist you with making a poster that is effective at communicating your research or project to the audience:

The Purpose of a Poster Presentation is to:

  • Acquaint conference participants with the fundamentals of your research or study quickly and easily.
  • Use text, graphs, tables, charts, and pictures to present only highlights.
  • Catch your viewer’s attention.
  • Make the viewer want to learn more about your program or research.

 

How to Design an Effective Poster:

  • Include the abstract title and all authors at the top.
  • Keep text brief.
  • Do not use all capital letters.
  • Use graphics (charts, tables, pictures) that can be understood in one minute or less.
  • Ideas should flow from panel to panel logically.
  • Assume the viewer will be reading your poster from approximately 3 feet away: the font on your poster should be comfortably legible from this distance.
  • Describe all parts of the program/study, including why the outcome did or did not work as expected.

    • Objectives
    • Research Design/Program Description
    • Results/Evaluation
    • Conclusion(s)
    • Future Plans
  • The viewer should gain new knowledge or insight by visiting your poster.
  • Consider providing a handout summarizing your research and include your contact information.
  • If you do not provide a handout to viewers, be sure to have your business cards available for those who request your contact information.
